I am a new user of Outlook of the Mac with an Office 365 subscription. My email is on Gmail and it is read using IMAP. I have set up filters on Gmail to move incoming emails to a number of Gmail Labels (folders).

Just to be clear, I am doing the filtering in Gmail prior to Outlook reading the messages, not in Outlook itself. When a new incoming mail goes to the inbox, it always shows up in Outlook immediately. However, if an incoming email is routed to a different label/folder the unread message count for that folder, as displayed in Outlook's left-most pane, doesn't always increment, even though the status bar at the bottom says 'All folders are up to date'. Clicking the 'Send & Receive' button on the Home ribbon doesn't sync the other folders. If I click on one of those folders in Outlook, the status bar changes as follows: • All folders are up to date • Sync pending for this folder • Downloading • All folders are up to date At that point all messages for that folder have been downloaded, and the unread message count is correct.
Open your Mac Mail and click Mail at the top left corner, then click Preferences. Click Accounts, select your account on the left, then click Advanced. Deleted all gmail keychain entries, for both imap and smtp. Re-entered credentials in mailbox settings and smtp server settings. Enabled Automatically detect and maintain account settings (under Advanced, for each gmail account in Accounts) - this helped for an hour or so, then stopped working again.
Is there a way to make the syncing of the other folders more reliable without having to click on them? Please note my Gmail IMAP settings are: • When I mark a message in IMAP as deleted: Auto-Expunge on - Immediately update the server. (default) • When a message is marked as deleted and expunged from the last visible IMAP folder: Archive the message (default) When researching this problem, I found for Outlook 2011 to edit the scheduled Send/Receive All and set every folder to sync new messages. However, I don't see any way to Send/Receive schedule in my version of Outlook. Neither my Tools menu or ribbon tab have any items pertaining to schedule on them.
I previously used the open source mail program Thunderbird, which had exactly the same problem. However, the native MacOS Mail program does not have this problem, and it syncs all my Gmail folders instantly. Any help would be appreciated, thanks! Hi davelasker, Thanks for your detailed description. I understand that your main concerns is: there’s sync delay between Gmail server to Outlook client when the account have filter which is to move incoming emails to different labels on Gmail web version. I suggest that you may try to update Outlook for Mac to keep the client in the latest version, this way can also maintain Outlook performance and get better user experience.
